Some businesses assemble best-of-breed tools: one for leave, another for attendance, another for payroll. That can work if you have an IT team to maintain the integrations. For most small and mid-sized South African businesses the all-in-one route is easier to live with, for three reasons:

  2. One employee record means one place to update when someone changes role, bank or address.
  3. Reporting works across HR and pay, rather than needing three exports stitched together.

The trade-off is that a single vendor's weakest module becomes your weakest module, so test every module you plan to use, not just the one in the demo.

Pricing structures vary more than feature lists do, and it's where surprises happen. Compare like for like on:

  • Implementation and training fees. One-off costs for data migration, set-up and training can rival a year of subscription for complex deployments.
  • Support. Check what is included, what hours support covers and what response times you can expect.

Labour law and leave

Payroll and SARS

POPIA and data location

Employee records are personal information. POPIA places conditions on how you secure it and on transfers outside South Africa, so ask any vendor where data is hosted, who can access it and how access is logged. A practical implementation plan

  1. Clean your data first. Reconcile employee lists, contracts, bank details and leave balances before loading anything.
  2. Write down your rules. Leave policy, shift patterns, overtime rules and approval chains, in plain language, before configuring.
  3. Start with the core modules. Employee records, attendance, leave and payroll first; recruitment and performance can follow.
  4. Run payroll in parallel. Compare at least one cycle against your current process, line by line.
  5. Train managers, not just HR. Approvals only speed up when the people approving know how to do it on their phones.
  6. Go live at the start of a month or tax year, then review after 60 to 90 days and switch on the next modules.

Multi-site and shift-based teams

Retail chains, depots, clinics and factories share the same problem: managers at each site run things slightly differently. Good HR management software gives each site its own shifts, holidays and approvers while keeping one company-wide record and one payroll. When you evaluate, ask to see a location-level report and how a manager at one site is prevented from seeing another site's salary data.

How to tell the rollout is working

Agree a few measures before go-live, then check them at 60 and 90 days:

  • Days it takes to close a payroll cycle, compared with before
  • Number of leave-balance or attendance queries reaching HR each week
  • Payroll corrections needed after the run has been approved
  • Share of employees using self-service instead of asking HR
  • Time to onboard a new hire from offer to first day

If those numbers aren't moving, the fix is usually configuration or training rather than a different product, so look there first.
